All of it is currently coordinated through a website booking widget, a spreadsheet and a phone. That worked at 40 athletes. It is the constraint at 245.
01A booking widget sells a session.
It can't run an academy.
- A term isn't a booking — 8–10 weeks, one class a week, one place held for a whole term. A checkout that sells single slots models none of that.
- Attendance lives on paper — coaches find out who isn't coming when they don't turn up, and parents never see the record.
- Families aren't a customer — one parent, two kids, two venues, two age groups, one invoice. Most systems only know about individual bookers.
- Re-enrolment is a fresh sale every term — 95% of families come back, and every one of them is chased by hand four times a year.
- Compliance sits in a folder — 16 coaches with WWCC and first-aid certificates that expire on 16 different dates.
- Rouse Hill earns nothing outside class hours — a court you control, with no way to sell casual hire at 6am or 9pm unless someone is there to open up.

Offer, then collect
Offer every returning family their place in one pass. Each parent gets a link to accept and pay; you watch offered, accepted and paid fill in instead of chasing them.
Every class shows its numbers against its cap. A family who can't get in goes on the waitlist, where you can see them — so the second Saturday class at The Ponds is a decision backed by names, not a hunch.

Refunds that actually refund
Cancel a booking and the card is refunded — in full or in part — under the cancellation policy you set yourself. The refund shows on the booking, not in a separate spreadsheet.
One family, one invoice
One page shows what each household owes, player by player, across every venue. Team fees, and discounts in dollars or percent if you run a sibling rate.
Nothing owed goes missing
Unpaid fees sit on one list by household, and a fee can be split into instalments — fortnightly or monthly — with what's paid and what's due in plain sight.
Payments run through Stripe on your own account — CourtPass never holds the money, and every term fee, discount and refund lands in one ledger you can export.

Rouse Hill is yours, and the building is ready for it — a single court, one controlled entry, power and network where they need to be. This is a clean install on a site that suits it, not a construction project.
A booking is the key
Entry granted only for the booked court and time window, then revoked automatically. Every entry logged against a name.
Cameras and a record
A camera still on every entry, who is in the building right now, and an email each morning of anything that happened after hours.
Casual hire, unmanned
Sell 6am and 9pm court hire with nobody there to open up — hours that currently earn nothing at all.
This is the part a booking widget cannot reach at any price, and it only pays off at a court you control. Rouse Hill is that court — the three hired sites keep running on enrolment, scheduling and roll call exactly as they do today.
